Work Control Coordinator

The University of Evansville invites applications for the position of Work Control Coordinator in the Office of Facilities Management and Operations. This full-time position plays a vital role in the development, operation, and oversight of the University’s Computerized Maintenance Management System (CMMS) and ensures the efficient coordination of work order processes, procurement, receiving, and inventory management in support of the campus’s facilities operations.

Reporting to the Assistant Vice President of Facilities Management and Operations, the Work Control Coordinator collaborates closely with departmental managers and staff to ensure maintenance, purchasing, and supply chain activities meet institutional standards and support a safe, well-maintained environment for students, faculty, and staff.

Key Responsibilities

  • Provide operational oversight and support for the University’s CMMS, ensuring accurate work order processing, planning, scheduling, and documentation.
  • Manage procurement, receiving, and storehouse activities, including maintaining adequate supplies inventory, critical spares, and the staging of materials required for work orders.
  • Develop and implement preventive maintenance programs to support the proper life cycle management of University assets.
  • Coordinate purchasing activities in compliance with University policies and procedures, collaborating with managers to monitor and manage budgets for necessary materials and services.
  • Oversee inventory control processes, ensuring the availability of critical materials through efficient warehousing and just-in-time delivery practices.
  • Support Facilities Management leadership in developing and maintaining accurate records, reporting, and tracking of work orders, maintenance schedules, and equipment lifecycle data.

Knowledge, Skills, and Abilities

Knowledge of:

  • Computerized Maintenance Management Systems (CMMS)
  • University or higher education purchasing rules, regulations, and policies
  • Accounting and business procedures within an educational environment
  • Methods, materials, and equipment related to building maintenance, operations, alterations, and construction
  • Inventory and just-in-time warehousing operations

Skills Required:

  • Proficiency in Microsoft Office programs (Outlook, Word, PowerPoint, Excel)
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Effective listening, decision-making, and analytical abilities
  • Ability to work independently and as part of a collaborative team

Physical Requirements & Working Conditions

Position requires both office and field work.

Frequent standing, walking, bending, stooping, and occasional lifting.

Ability to drive University vehicles as required.

Primary hours are Monday through Friday, 7:00 AM – 4:00 PM.

Occasional evenings, weekends, and local travel may be required.
