Administrative Assistant for Math and Academic Affairs

The University of Evansville invites applications for the position of Administrative Assistant for Math and Academic Affairs. This role provides year-round administrative support for the Departments of Mathematics and Physics and, during the slower summer months (approximately 10 weeks), extends support to additional academic departments. The position also provides clerical and special project assistance to the Associate Provost, who is a member of the Mathematics Department, as well as the Office of Academic Affairs.

Key Responsibilities

  • Provide budget management support through purchasing, budget transfers, internal reimbursements, and PCard (university credit card) reconciliation.
  • Process paperwork such as purchase orders, internal charge authorizations, check and petty cash requests, invoice processing, room reservations, meeting minutes, and interlibrary loans.
  • Schedule meetings, appointments, review sessions, and events.
  • Coordinate and manage departmental special events (e.g., Math Banquet, Summer Camp).
  • Assist with recruitment of majors in Mathematics, Actuarial Science, and Statistics & Data Science.
  • Assist the Associate Provost by scheduling meetings, coordinating assessment initiatives, attending committee meetings as needed, and occasionally taking notes.
  • Support the Academic Affairs Office with clerical work and special projects, particularly for the Associate Provost.
  • Monitor and order office supplies.
  • Request desk copies of textbooks from publishers.
  • Schedule and proctor exams.
  • Assist faculty with travel arrangements and reservations.
  • Provide visitor assistance and respond to external inquiries or direct them to the appropriate faculty member or office.
  • Handle requests for tutors from outside the University.
  • Coordinate employment and scheduling of tutors for the Math Tutor Lab each semester.
  • Submit maintenance requests and technology support requests as needed.

Qualifications

  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with Microsoft Excel and strong overall computer literacy.
  • Comfort with web-based applications.
  • Ability to work independently, manage multiple tasks, and prioritize effectively.
  • Enjoyment of working with students in a supportive academic environment.
