Senior Administrative Assistant - Center for Career Development
The University of Evansville (UE) is looking for a professional, organized, and high-energy Senior Administrative Assistant to serve as the operational backbone of the Center for Career Development (CCD). This full-time, 12-month position supports a dedicated team of four in delivering a comprehensive "End-to-End Career Development Model" to our students and alumni. As the vital first point of contact for the office, you will play a key role in connecting students with life-changing career opportunities.
Key Responsibilities
The Senior Administrative Assistant manages the daily flow of the CCD office and provides critical support for our career-focused programming. Your main duties will include:
- Office Operations & Lead Support: Perform a full range of administrative duties, including managing the Director's calendar and scheduling appointments for multiple staff members.
- Front-Line Communication: Serve as the primary point of contact for students, faculty, staff, and external employers. You will answer inquiries, manage information flow, and uphold an exemplary public relations standard.
- Student Staff Supervision: Directly supervise and mentor four student employees, ensuring the front office remains efficient and welcoming.
- Budget Coordination: Monitor and track office and event budgets, managing revenue and expenditures in coordination with various campus departments.
- Database & Systems Management: Navigate and manipulate essential web-based systems (e.g., UE Career Bridge, TruTalent, Colleague, and Informer) to post job positions, process resume requests, and manage recruiting mailing lists.
- Event Planning Assistance: Provide administrative and logistical support for career fairs, workshops, and recruitment activities.
- Collaborative Student Life Member: Function as an active member of the broader Student Life team, assisting with campus-wide initiatives as assigned.
Required Qualifications
- Education: High School Diploma required.
- Experience: 1–2 years of professional experience in an administrative role.
- Communication: Excellent interpersonal skills with a professional demeanor and the ability to maintain a high level of confidentiality.
- Technology: Proficiency in Microsoft Office (Excel, Word, Outlook) and a high level of comfort learning and managing complex databases.
- Attributes: Initiative, cultural sensitivity, and a sense of humor are highly beneficial. You must be able to thrive in a fast-paced environment while managing multiple priorities.
Preferred Attributes
- Experience: Previous work experience in a college or university environment is a strong plus.
- Skills: A background in public relations or professional customer service.
- Problem Solving: The ability to work both independently and collaboratively to solve operational challenges.
