Housing During Breaks

Students remaining on campus during Thanksgiving break are reminded to keep doors locked and carry their keys between Tuesday, November 26, 2024 at 5:00 p.m. and Sunday, December 1, 2024 at 5:00 p.m.

If you need assistance during the break, please contact the Office of Public Safety at 812-488-2051. The Office of Residence Life will be closed from 3:00 p.m. on Tuesday, November 26, 2024 through Sunday, December 1, 2024. On-Call Residence Life staff can be contacted through Public Safety during this time.

Registering to stay during Thanksgiving Break

You can stay, but we ask that you let us know in case there are any emergencies.

To request to stay on campus during Thanksgiving Break, submit the “Thanksgiving Break Housing Request” form in your eRezLife portal.

Safety Tips during Thanksgiving Break

  • We recommend that Village residents purchase lamp timers to guard against unforeseen damage or theft
  • Insure any property brought to school through homeowners insurance or independent personal property insurance. Two companies that specialize in student personal property insurance are:

2024-25

All University residence halls will close during Winter Break.

Important: Check your email from Residence Life for all check-out procedures.

The Office of Residence Life requests that all students depart 24 hours after their last final. Residential Buildings close at Noon on Saturday, December 14. All students living in the residence halls must vacate their rooms during Winter Break.

Requests for a one-day extension by submitting the “Late Stay Request – FALL” form in your eRezLife portal.. These are due no later than Thursday, December 5. Approval is subject to room and hall availability, and comes with a cost of $35 per night T-Fri Requests for Winter Housing - Students in can apply for Winter Housing in the eRezLife portal by selecting “apply for housing” under the Recommended Actions section. Offers of Winter Housing will be sent to students on December 7, 2024. Students will have until December 11, 2024 to accept the offer of Winter Housing. Winter Housing is available for students who are not able to go home for winter break or must remain on campus for participation official university functions can be arranged.

Please note that students will not be able to re-enter their rooms over the break; thus, it is important to bring home anything needed during this period. Before you leave, a blue checklist will be taped to door.

January Arrivals

Residence halls re-open at 9:00 a.m. on Saturday, January 11, 2025. Students participating in official University functions that are required to arrive earlier than that date should contact the Office of Residence Life to request approval to do so.

Here is the closing schedule for University of Evansville residential facilities:

  • Our residential facilities will close on Saturday, May 10, 2025 at Noon* for the Summer.

*However, all students are asked to depart from housing within 24 hours of their last exam.

Extended Stay Requests

General requests: Students needing to stay past the posted closing date may submit a “Late Stay Request” form in your eRezLife portal up until 5:00 p.m. on Reading and Study Day. There is a $35 per night fee, depending on the reason for saying.

Commencement: Graduating seniors or those students taking part in the Commencement ceremony will be granted an extended stay if needed. The extension for Graduating Seniors is for the next day after commencement, Sunday at Noon.

Residence Hall Check Out

Hale, Moore, Powell, and Schroeder Halls

RAs will post a sign-up schedule on their door – all residents must schedule an in-person checkout with their RA.

Select a time that you will be ready to checkout of your room. All items need to be out of your room during your checkout appointment.

Checkout appointments should be scheduled at least 48 hours in advance - please remember that RAs have finals too!

At the checkout appointment, your RA or a building RA will collect your key(s). The RA will inspect the room to ensure all personal items are removed and discuss any potential damage responsibilities. It is helpful to have all drawers and cabinets open during the checkout appointment.

New Hall and Village Housing Check Out

New Hall and Village Housing

Students Living in New Hall and Village Housing will check out differently from standard Residence Halls.

  • Members of the Pod or Apartment leaving earlier will complete a self-checkout
  • The members who are the last to leave will complete a final in-person Checkout.

The “First to Leave” Self-Checkout Process

  • Pick up a Self-Checkout Key Envelope with instructions at the RA office or in the Office of Residence Life by Reading Study Day.
  • Discuss who is responsible for cleaning tasks prior to moving out. If there are potential damages discuss who should be responsible for those prior to checkout.
  • Before leaving, complete the Self-Checkout link on the key envelope.
  • Place all Residence Life issued keys in this envelope prior to leaving campus. You can leave this envelope with your roommate and the RA will collect it during the  Last to Leave checkout appointment.
  • If you would like to schedule an In-Person checkout, you may do so by following the Last to Leave process.

The “Last to Leave” Full Check-Checkout Process

The person who is the last to leave should schedule an In-Person Checkout with an RA to check the entire pod or apartment prior to leaving. Sign-up links will be emailed by building staff by Reading Study Day.

Select a time that you will be ready to checkout. All items need to be out of the pod / apartment during your checkout appointment. Checkout appointments should be scheduled at least 48 hours in advance to give staff time to internally schedule shifts. Please remember that RAs have finals too!

At the checkout appointment, a building RA will collect your key(s) and your roommate’s Self-Checkout Key Envelopes. The RA will inspect the room to ensure all personal items are removed and discuss any potential damage responsibilities. It is helpful to have all drawers and cabinets open during the checkout appointment.

Storage

To ensure the safety of student belongings and to provide the best solutions for student storage, the Office of Residence Life has transitioned away from on campus storage. We encourage students to use of one of the many local storage facilities in the Evansville area.

    Two unit sixes: 6’x10’ or 8’x10’.

    Boxes picked up from your door!
    Dropped off at your Housing Assignment in the Fall.

Reminders About Leaving

  • All personal items must be removed from your room and hallway prior to leaving.
  • Vacuum, clean, and dust before leaving.
  • All furniture must be placed back to its original configuration.
  • Carefully remove any poster putty, tape, or command hooks from the walls and door.
  • If a MicroFridge was rented, it must be unplugged, defrosted, and clean. The vendor will collect rental units from rooms after students leave.

Note: Property Left Behind and Cleaning and Damage Assessment

  • Personal property left after checkout times will be removed from rooms and disposed of by the University.
  • Students whose rooms require extra cleanup after checkout will be charged a minimum fee of $50
  • Failure to check out properly can result in a fee of $50
  • The failure to return room keys will result in a $40 fee

All charges will be assessed by the Office of Residence Life following check out. Once notified of charges by email, there is a 30-day period to contest posted charges on a student's account.
