Letter from the Interim Executive Director of Facilities

The facility management office has seen a lot of changes over the past season. Staff, equipment and facilities have all undergone major changes. These changes have affected the office and will for years to come.

New staff have started with two new in the facility specialist division and one in the grounds division. These three new staff members have made an immediate impact to the team. Please help welcome them if you meet them on campus and make them feel a part of the UE community. We also had a big change with Executive Director Mike Averett taking a position with another university. While the university will miss Mike we are already underway searching for a replacement. 

As everyone has noticed the opening of the Freeland Clubhouse is just around the corner. Final construction is underway and the Purple Aces Baseball team is excited for their new space. On the other side of campus you may have seen the UE Growpod. This self-contained hydroponic growing environment will assist UE in several ways. From various vegetables to different flowers that are a lot of ways that the new Growpod can assist different areas of campus.

The University of Evansville latest UE Gives Back Day on May 1st saw over 5o faculty and staff volunteered to assist with beautification projects all over campus. Painting, replenishment of the Hale Hall volleyball court, cleaning of the baseball field fence padding, and a lot of mulching was accomplished. It was a powerful purple moment that was the perfect example of “Many hands make light work.”

The Work You Don’t See (But Always Feel): Facilities Year in Review

As the academic year comes to a close, the Office of Facilities Management would like to thank the campus community for helping us keep the University running smoothly. Over the past year, we received more than 6,463 work orders and successfully completed 5,534 of them. From patching and repairs to cleaning, grounds and general maintenance across campus, our team is committed to responding to the wide range of needs that come our way.

To help us continue providing efficient service, please remember to submit all work orders through the UE website under the Facilities section by completing the work order form.

What to expect after submitting a work order:

  • Email Updates: You will receive communication from facilities@evansville.edu regarding updates, questions, or any permissions needed to complete your request.
  • Track Your Progress: You can monitor the status of your work order at any time through Asset Essentials.
  • Follow-Up if Needed: Facilities staff may reach out if additional information is required to ensure your request is completed accurately and efficiently.

Behind the scenes, our maintenance and grounds teams work hard every day to complete these requests in a timely manner. We appreciate your patience, cooperation, and support throughout the year.

Custodial Corner: Spring into Clean!

🌷🧽  As spring arrives, so does a fresh opportunity to reset, refresh, and renew our campus spaces. Our custodial team has been hard at work ensuring buildings remain clean, safe, and welcoming for students, faculty, staff, and visitors. 

This season, our focus includes:

  • Deep Cleaning & Detail Work 
    During academic breaks and lighter traffic periods, teams are targeting high-touch surfaces, floors, windows, restrooms, and common areas for extra attention. 
  • Floor Care Season 
    Spring is a prime time for stripping, waxing, buffing, and carpet extraction in select areas to keep interiors looking their best. 
  • Outdoor Transition Support 
    With changing weather comes mud, pollen, and extra foot traffic. Entryways and lobbies are receiving increased attention to help keep dirt from traveling indoors. 
  • Sustainability Matters 
    Our team continues efforts to reduce waste, support recycling programs, and use environmentally responsible cleaning practices whenever possible. 

How You Can Help 
Everyone plays a part in maintaining a beautiful campus: 

  • Place trash in proper receptacles 
  • Break down cardboard boxes before disposal 
  • Label personal bins clearly if not intended for trash 
  • Report spills or concerns promptly 
  • Be mindful of shared spaces 

A Big Thank You 
We appreciate our custodial staff for the pride, professionalism, and consistency they bring every day—often behind the scenes and before most of campus is awake. 

Clean spaces don’t happen by accident—they happen because of dedicated people. 

Custodial Corner: Spring Reset

🌷🧽  Spring is here, which means warmer weather, more foot traffic, more pollen, more mud, and plenty of new opportunities for messes to appear in places that make no logical sense.

 Our custodial team continues working hard to keep campus clean, safe, and functional while managing ongoing cleaning challenges. Like many service departments everywhere, we’ve had periods where open positions and coverage gaps have impacted response times and the level of detail we’d all prefer. We know that, and we appreciate everyone’s patience as we continue improving. 

What We’re Focused on This Spring and Into Summer: 

  • Prioritizing What Matters Most 
    Restrooms, classrooms, common areas, and high-traffic spaces remain top priorities to support daily campus operations. 
  • Floor Care & Seasonal Projects 
    As schedules allow, teams are working on floor care, carpet cleaning, and detail projects throughout campus. 
  • Spring Weather = Spring Mess 
    Rain, mud, pollen, and debris increase this time of year, especially at entrances and heavily used areas. We’re targeting those spaces as consistently as staffing levels permit. 
  • Improvement in Progress 
    We continue recruiting, adjusting schedules, and looking for ways to improve efficiency and coverage across campus. 

How You Can Help (And It Truly Helps) 😏

Facilities & Grounds Seasonal Update

Coming out of the cold and snowy winter to a mild, and sometimes hot, spring has created several responsibilities for the grounds and facility specialist position. The last week of January saw over a foot of snow fall. During that time all the members of the facility management division were tasked with clearing sidewalks, parking lots, drives, stoops, and steps. Working multiple 12 hour days the staff pulled together and was able to reopen campus after 2 days of closure. Even following the campus opening staff continued to clear additional sections of parking lots, and additional walks ways.  While it was a huge undertaking the team was safely able to make campus accessible and passable for students, staff and faculty.

With spring here groundskeepers have started mowing and preparing soccer fields and other grass areas.  With 80 acres of campus and related properties the groundskeeping staff is in full swing. In addition to the grass soccer facilities the grounds department has been busy working with both baseball and softball to help clean their stadiums following their home games. So far this season there have been more the 25 dates for stadium cleanings.

Groundskeepers have assisted with several campus beautification projects already this fall with the installation of the bench honoring Zerah Priestly Carter '38, UE’s First African American Graduate. Spring saw the planting of six trees on campus locations. These Hickory and oaks are classified as “centennial trees” due to their ability to live for over 100 years. The groundskeeping division is also preparing to take part in the upcoming UE Gives Back Day.

Like all organizations there have been some changes in staff with the ground keeping department. There have been two of the five groundskeepers that have left for other opportunities.  One continues to work at UE in another capacity and the second chose to explore opportunities outside of the university. We were lucky enough to hire Chris Newman to fill one of the positions.  Chris brings a passion for trees and experience working with the Evansville Tree Board to the job to help bolster our existing staff’s knowledge.

The Facility Specialist have continued to assist all over campus with completing a number of work orders and supporting special events, rentals, and meetings on campus. Over the last six months there have been over 360 work orders completed by the facility specialists. All while assisting other facility management staff with other duties.

Some of the larger events that have been supported with set ups include Purple Palooza, Winter on Walnut, Bike Race, Graduation, Fall Commencement, Welcome Back events for students, events at the President’s house, and more.

Like every year facility specialists have started to prepare to suppose graduation in May. They will then immediately switch to turnovers where they address almost 900 dorm rooms, apartments, townhouses, and empty rental houses to prepare it for the upcoming fall semester students and staff.

This year the facility specialists saw a large turnover of staff. With two of the four staff members leaving to take other positions at UE. We have been lucky enough to fill those two positions. Montrel Sears and Nolan Montgomery have come onboard and made an impact with their skills and work ethic.

Coming up as a big change for the facility specialists and other members of campus is the changing reservation system. This new system should have several functions that the current one is missing that will make it easier for everyone. This new system should interact with the existing work order system generating work orders tied to reservations if needed.. It should also allow more UE students and staff to view reservations.
