Administrative and Project Specialist - Office of the President

The Administrative and Project Specialist serves a critical role in the Office of the President, providing a range of administrative support and project management functions to cultivate institutional successes and exceptional experiences.

Serving as the initial point of contact for the Office of the President, the Administrative and Program Specialist will have the opportunity to contribute to an environment that conveys positivity and advances possibility. The Office of the President collaborates closely with multiple internal and external constituents, creating meaningful opportunities to develop and build strong working relationships. The ideal candidate must possess advanced interpersonal and communication skills. 

Through planning and oversight of special presidential projects, the successful candidate will have the opportunity to shape and influence hallmark moments of the 24th presidential administration. Planned and impromptu moments are designed to intentionally create lasting impressions of cherished celebrations and achievements - individually, for groups, or institutionally - to mark powerful occasions in the life of the University. 

In addition to a creative, innovative spirit, the individual must have an essential understanding of professional protocols as it relates to confidentiality, integrity, discretion, and trust. Strong organizational skills, time management competencies and an astute attention to detail are essential to the position.

Responsibilities Include:

Strategic Administrative Support:

  • Assist with calendar management for the President of the University, including daily calendar organization and preparation of supporting documentation;
  • Support planning, coordination, and logistical efforts for Presidential Meetings and Travel

Office Management: 

  • Review and reconcile requests for Presidential meeting spaces on campus; 
  • Process and manage financial entries including invoices, expense reports, reimbursement requests and purchasing card reports;
  • Oversee general office maintenance, i.e. supply management, filing and record maintenance, facilities requests etc.

Communications Management: 

  • Serve as a welcoming presence as the initial point of contact in the Office of the President;
  • Manage incoming modes of communication (phone, email and mail) to coordinate logistics and requests on behalf of the President as required.

Project/Event Management:

  • Organize internal and external projects/events hosted by the President, recognizing and orchestrating moments of institutional excellence;
  • Manage the planning, coordination, and logistical efforts for Presidential special projects and events;
  • Attend and oversee coordinated Presidential events during and outside of standard business hours as required.

Qualifications:

  • Bachelor’s degree in a relevant field, with demonstrated commitment to learning, growth and development.
  • 2+ years of administrative experience in an executive suite preferred.
  • Experience in calendar/project management with skill proficiencies in time management, task prioritization, attention to detail, and organization.
  • Exceptional critical thinking and analytical skills with experience in complex problem solving with the goal of strategic organizational alignment.
  • Ability to successfully work independently as well as collaboratively.
  • Outstanding interpersonal and communication skills, with a comfort in building relationships with a variety of constituent groups including Donors, Faculty, Staff, Board Members and Community Members.
  • Technological savviness and adaptability is essential to the position, including advanced proficiency within Microsoft Office Suite.

  • Required understanding of professional protocols as it relates to the fundamentals of confidentiality, integrity, discretion, and trust.

Other Information:

The Office of the President communicates regularly with members of the UE senior leadership team, Board of Trustees, faculty, staff, and administrators across campus, as well as with community organizations and educational consortium.

Effective communication skills are essential to building a network of meaningful internal and external relationships that create a strong foundation for achieving the goals and objectives of the Office of the President and the University of Evansville.

While physical effort is only occasional, the position requires a high degree of mental acuity, professional discernment and discretion, and sound judgment on a consistent basis. 

The Administrative and Project Specialist is a full-time in person hourly position (40 hr/week), requiring limited out of city travel.
