Coordinator, Distribution Services

The University of Evansville (UE) is seeking a proactive, organized, and reliable Coordinator, Distribution Services in our campus mailing and receiving operations. This is a critical, hands-on role that keeps our university connected, ensuring the seamless flow of mail, packages, and materials to faculty, staff, and students across campus.

You will be the point person for all incoming and outgoing logistics, providing leadership to our staff and students while maintaining the high standards our community expects.

Key Responsibilities

The Coordinator, Distribution Services balances operational leadership with active, daily participation in logistics. Your main duties will include:

  • Team Leadership: Provide daily oversight, training, and supervision for Distribution Services staff and student employees; manage work priorities to ensure all deadlines are met.
  • Logistics & Receiving: Oversee the receipt, tracking, and timely distribution of all campus mail and packages; maintain accurate delivery records.
  • Fiscal & Vendor Management: Monitor postage accounts, manage vendor communications/invoicing, and handle the reconciliation of department expenses.
  • Operational Readiness: Coordinate the maintenance of departmental vehicles, forklifts, and loading dock equipment to ensure all assets are safe and functional.
  • Compliance & Policy: Maintain a deep working knowledge of USPS regulations, carrier requirements, and University policies to ensure full compliance.
  • Hands-On Support: Serve as a backup for Central Receiving and Mail Courier functions, ensuring operations continue smoothly regardless of the daily volume.

Required Qualifications

  • Licensure: Must maintain a valid operator’s driver’s license.
  • Technical Skills: Strong working knowledge of computer applications and logistics tracking software.
  • Communication: Exceptional customer service, problem-solving, and interpersonal skills.
  • Organization: Proven ability to multitask, manage time effectively, and adapt to changing priorities in a high-volume environment.
  • Integrity: The ability to exercise discretion and maintain confidentiality when handling university and personal mail/information.

Physical Requirements

  • Strength & Agility: Capability to regularly lift and carry up to 50 lbs.
  • Environment: Ability to work outdoors in various weather conditions and move frequently throughout the campus.
