Coordinator of Harlaxton Academic and Faculty Support
The University of Evansville invites applications for the position of Coordinator for Harlaxton Academic & Faculty Support. This position provides essential administrative support for the academic operations of Harlaxton College and serves as a key University of Evansville-based resource for faculty coordination, academic scheduling, registration management, academic systems, and related administrative processes.
Working under the supervision of the Manager for Enrollment & Program Operations, the Coordinator supports a variety of recurring processes that connect Harlaxton College, University of Evansville offices, visiting faculty, permanent Harlaxton faculty, and students. The successful candidate will play a vital role in ensuring that academic schedules, faculty records, registrations, syllabi, and related administrative systems are maintained accurately, efficiently, and effectively.
Key Responsibilities
The Coordinator for Harlaxton Academic & Faculty Support assists with a wide range of academic and faculty operations that support the successful delivery of Harlaxton programs.
Faculty Coordination
- Coordinate semester and summer course offerings, faculty information, academic timetables, class schedules, and classroom assignments.
- Collect, maintain, and track faculty documentation, applications, syllabi, deadlines, and related academic information.
- Provide ongoing communication, guidance, and administrative support to visiting and permanent faculty.
- Coordinate and co-host faculty pre-departure information sessions and related orientation activities.
- Support faculty planning initiatives, including development and administration of the Faculty Ambassador Program.
- Assist with faculty onboarding workflows and administrative processes.
Academic Scheduling & Registration Management
- Manage student registration processes and enrollment adjustments.
- Support course enrollment management, including British Studies course balancing and add/drop processes.
- Coordinate academic scheduling activities to ensure accurate course offerings and classroom assignments.
- Maintain records and documentation related to course scheduling and registration activities.
- Work collaboratively with University offices and Harlaxton staff to resolve registration and scheduling issues.
Systems & Data Management
- Build and maintain Harlaxton courses and faculty records within Colleague.
- Manage and maintain current syllabi within the University syllabus repository.
- Support Slate administration related to faculty applications, onboarding, and workflow management.
- Develop and improve automated processes, workflows, and system efficiencies where appropriate.
- Ensure the accuracy and integrity of academic and faculty records across multiple administrative systems.
Administrative Process Improvement
- Develop and maintain workflows, checklists, templates, process documentation, and training materials.
- Identify opportunities to improve administrative effectiveness and efficiency.
- Maintain organized records and documentation that support academic and faculty operations.
- Assist with special projects and other administrative initiatives as assigned.
Financial Processing & Administrative Support
- Support financial processing related to academic and faculty operations.
- Assist with tracking and maintaining records associated with departmental budgets and expenditures.
- Coordinate administrative processes involving multiple stakeholders across both campuses.
- Provide general operational support for Harlaxton academic programming.
Website & Communications Support
- Assist with maintaining academic and faculty information on University websites and internal resources.
- Coordinate communication between faculty, staff, and administrative offices.
- Support dissemination of important academic schedules, deadlines, and program information.
Required Qualifications
- Bachelor's degree or an equivalent combination of education and relevant professional experience.
- Minimum of two years of administrative, academic support, higher education, or related professional experience preferred.
- Strong organizational and administrative skills with the ability to manage multiple recurring processes and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Demonstrated attention to detail and commitment to accuracy.
- Ability to work independently while exercising sound judgment and discretion.
- Strong technology skills and willingness to learn new systems and platforms.
- Ability to work effectively with faculty, students, staff, and external academic partners.
- Ability to coordinate projects involving multiple stakeholders and competing priorities.
Preferred Qualifications
- Experience working in higher education, academic administration, faculty support, or enrollment operations.
- Experience with Colleague, Slate, or similar student information and customer relationship management systems.
- Experience managing academic schedules, registration processes, or faculty records.
- Knowledge of study abroad or international education programs.
- Experience creating workflows, process documentation, and training materials.
- Familiarity with website content management systems and academic repositories.
Working Environment
- Part-time position, primarily remote.
- Academic-year schedule (August through May).
- Summer hours required during June and July (approximately five hours per week).
- Typical schedule is Monday through Friday from 8:30 a.m. to 12:30 p.m., or another mutually agreed-upon schedule with the supervisor.
- Remote work arrangement, with candidates located in the Evansville area strongly preferred as occasional in-person meetings may be required.
- Position is not eligible for paid holidays, vacation benefits, or other employee benefits.
