Prepare for Arrival

Once you have completed your immigration paperwork and secured your visa, you should complete the following steps to prepare for your arrival.

1. Set Up Your UE Portal and Login

Beginning in late January 2025, students admitted for the fall 2025 semester will be assigned a UE student ID number, UE username, temporary password, and email address. Students entering UE in January 2026 for the spring 2026 semester will be assigned their student numbers starting in May 2025. Please visit Setting Up Your UE Account for detailed instructions to assist you with your account activation.

These credentials will allow you to access the UE systems where you will manage your affairs as an incoming student and throughout your career as an Ace. If you are not sure of these credentials, email admission@evansville.edu or your personal admission counselor.

2. Register for On-Campus Housing and Meal Plan

Visit Residence Life for details about UE’s housing options, move-in dates, meal plans, residency requirements, and more. Indicate your preferences in UE Self-Service.

If you have questions regarding residence halls, assignments, meal plans, or other aspects of living on campus, please email residencelife@evansville.edu or call us at 812-488-2956.

3. Submit Health and Vaccination Records

State law and University policy require that all new incoming, full-time students submit an updated, physician certified immunization record and physical. The University uses Med+Proctor for our health information verification and compliance process. Information about health and immunization requirements can be viewed on the Health Center website. Questions can be directed to UE's Health Center at 812-488-2033.

4. Arrange Payment Plan with Student Financial Services

UE requires that payment arrangements be made no later than July 15 for the Fall semester and October 15 for the Spring semester. View payment information for new international students entering Fall 2025.

5. Register for Orientation (SOAR), Class Registration, and Welcome Week

All international students will participate in an on-line, pre-arrival orientation, International Arrival and Welcome (IAW), the August SOAR session and Welcome Week. Meals will be provided at IAW and SOAR. Welcome Week meals will begin with the evening meal on Saturday, August 16.

You will receive an email from the University in June on how to register for the online, pre-arrival orientation. This orientation will provide you with valuable information to apply and maintain your visa, navigate the academic and social environments of UE and meet other incoming international students!

You will also receive an email with instructions to connect with an advisor who will instruct you on how to take any placement tests you may need to complete. These tests are designed to assess your previous course work and determine the appropriate beginning level of instruction for you here at UE.

6. Make Travel Arrangements to Evansville

Students can arrive on campus beginning on Tuesday, August 12 and no later than Thursday, August 14 at 12:00 p.m. CST. Students who plan to arrive before Tuesday, August 12 should make local transportation and hotel arrangements. Our closest airport is the Evansville Regional Airport (EVV). Please let us know your travel plans using the Arrival Information Form. Student admission portal log-in is required to complete the form.

All questions regarding international arrivals should be sent to Stacie Miller, Coordinator for International Student Engagement and Services at sm634@evansville.edu.
