Administrative Assistant for Facilities Management and Planning

The Facilities Department has an immediate opening for an Administrative Assistant.  Some of the responsibilities of this full-time position include:

  • Serves as principal receptionist and dispatch for department
  • Generates work orders from Webadvisor requests or phone calls
  • Documents work completed and closes work orders
  • Types correspondence and other documents
  • Prepares and manages rental leases
  • Serve as liaison for contractors needing keys and parking permits
  • Process EPA report monthly
  • Process Redistribution report monthly
  • Orders office supplies
  • Serve as liaison for department copier
  • Maintains departmental files
  • Schedules appointments and makes travel arrangements
  • Processes incoming/outgoing mail
  • Processes all requests for Maintenance and associated work, prepares associated work orders and purchase orders
  • Reviews all campus facility utility bills, records cost and consumption data, assigns proper account numbers for payment, and prepares data for redistributed account charges
  • Substitutes for and assists Support Services Specialist
  • Prepares departmental labor time records and distribution report
  • Issues keys and records transactions
  • Assist Support Services Specialist with inventory annually
  • Other duties as assigned


  • Working knowledge of standard administrative office practices (typing, filing, e-mail, document copying, spread sheet preparation and use, etc) and associated equipment operation
  • Familiar with department work functions and capability
  • Working knowledge of utility billing format and terminology
  • Able to convert vague requests into functional work orders
  • Knowledge of standard labor time keeping practices
  • Good communication skills and organizational abilities
