Executive Assistant to the Vice President for University Advancement

The University’s Office of University Advancement is seeking an executive assistant to the vice president for university advancement. This full-time position provides direct support to the vice president in day-to-day operations of the office as a liaison, assistant, and support staff member.

Responsibilities include:

  • Maintain a good understanding of the value of fundraising, public relations, customer service, and stewardship on behalf of the University. Act as a liaison for the vice president in maintaining a positive image for the Office of University Advancement and the University of Evansville.
  • Process sensitive information and respect the confidentiality of the same.
  • Communicate well in person and by telephone with all constituencies, particularly prospective donors, trustees, alumni, and University staff members.
  • Assist the vice president with the executive boards of all University colleges and schools and the Board of Trustee’s Institutional Advancement Committee in the planning and implementation of meetings.
  • Plan business lunches and dinners and schedule appointments and meetings for the vice president. Assist with travel arrangements and itineraries as necessary.
  • Provide assistance, where needed, in all fundraising activities as they relate to the goals and objectives of the vice president’s position.
  • Assist the vice president in maintaining the budget, including the paperwork for tracking payables, for the Office of University Advancement.
  • Assist the vice president in processing and managing his/her procurement card along with the assistant’s.
  • Maintain the vice president’s calendar and filing system. Review and manage daily mail and correspondence. Anticipate and manage scheduling details and conflicts on behalf of the vice president.
  • Prepare correspondence, reports, gift agreements, and other necessary documents.
  • Manage incoming calls and messages for the vice president and return calls as appropriate.
  • Assist the vice president with various Office of University Advancement functions related to personnel and office management.
  • Work with various software packages including Word, Excel, PowerPoint, and the Advancement CRM system.
  • Perform other duties as assigned by the vice president for University Advancement.
